Live Classes in Axis LMS
Live Classes provide Axis Administrators a method to represent their physical classroom training inside the LMS. Once they are created inside Axis, you’ll be able to sell the class, and manage everything about the class: available seats, mark attendance, where and when it’s taking place.
Creating a Live Class is broken down into two main steps:
- Create the Location
- Create the Class
When creating a Live Class, you can choose to link the class to both a Usergroup, and an Online Course; but not required to create the class.
1. Create the Location
Learning > Live Classes > Manage Locations
Because Live Classes is all about working with a physical classroom, you’ll want to give your attendees some idea of where they’ll be attending class. To do this, you’ll need to first open your Learning Tab, then select Live Classes, and begin Managing your Locations.
If this is your first class, your only option should be to Create a New Location. You’ll be prompted to fill in all the information regarding that location.
The Location Name is how this location will be represented inside of Axis; it should be easily identifiable, so that you do not need to view the location to know everything about it.
The rest of the information combines to form a full address line; this includes the Address, City, State / Region, and Zipcode. This is all optional information, but if it’s not obvious to your users where they’ll need to go, it’s highly recommended that this information is filled out.
The Building and Room Number provide the user with additional information about where they’ll need to go. These are especially useful if the location is especially large, and would be otherwise difficult for the user to locate.
The Location Notes give you a way to provide the visitor with any final details about the location.
After creating one or more locations, returning to Manage your Locations will bring up all of your locations in a list.
You can now view these locations to see all the Classes associated with that location, edit that location (to bring up the same page as the Location Creator), or remove the location if classes are no longer being held there.
You’ll also have the ability to filter your locations if your location count exceeds the default view.
2. Creating the Live Class
Learning > Live Classes > Manage Live Classes
After you’ve created a location for your Class to be held in, the next step is to create the Class. If you plan on associating the class with either a Usergroup or Online course, make sure you’ve already set them up.
Return to your Learning tab, then select Live Classes, and begin Managing your Live Classes. If this is your first Live Class, you’ll be prompted to Add a New Class
The Class Name is how this Class will be represented inside Axis, on both the User and Admin side.
The number of Available Seats will determine how many additional users can enroll before the class is full - this can go up to 500 attendees, or dragged to the far left to remove the limit entirely. After the class is full, there can be no additional sign-ups for this Class.
The Class Location determines where the Class is going to be held - if this is being held in a physical classroom, you’ll want to make sure this is filled out. If you haven’t created a Location yet, or don’t see the Location you’re looking for in the dropdown, you can create a Location on the fly by clicking the "Add a New Location” link below the dropdown.
Linking the Class to a Course or Usergroup will automatically add the user when the first Class date occurs. This is especially useful if your Live Class has Online Content designed to accompany it, or to deliver homework outside the classroom. Users will only be able to access the course during the Live Class's scheduled dates and times and they will lose access to the Course when the final class dates passes.
After filling out the Class Settings, companies who are selling their Classes will want to familiarize themselves with the E-Commerce Settings. To sell the Class, you will need to have already set up your Payment Gateway (see this article).
To sell seats for your Live Class, switch the Sell Class option from No to Yes - this will allow the Class to display in your User’s Store.
The Class Price is the price of a single seat for your Live Class, before taxes and coupons. It’s worth noting that if you’ve linked your Class to a Course, you may want to factor in the price of the Course as well (if it is for sale).
Filling out the Product Category will determine where the Live Class will appear in your User’s Store. You can create new Product Categories from within the E-Commerce Shopping Cart.
Setting your Class as a Featured Product will add it to a Featured Products category in your User Store, allowing you to easily promote the content you want out there.
Now that the Class has seats and a location, the next step is to decide when this class is going to run.
The first two dropdowns allow you to determine when this Class is available to enroll in. It can begin displaying for enrollment as soon as you create the Class; never, or a certain number of weeks prior to its start date.
You have a similar option for when users can no longer sign up for the Class. This is particularly useful if you need a head count for the class a few days beforehand so that you can collect the necessary supplies. By default, the class will hide just one day before the class begins, but you can set this to be as early as one month.
Below these options you’ll be able to add dates for the class. Selecting Add a Scheduled Date will ask you if you’d like to add a specific date, or a series of dates.
As you add dates, they will populate in a list for you in chronological order; these appear with their day, date, start and end times, and can be removed if needed.
The last set of settings for the Live Class revolve around emails - who receives them, when are they received, and what do they send.
The Notification Email address is the addressee who will be notified every time a seat is filled in the Class. The email can be modified by scrolling to the Notification Email Template
The Reminder # emails are all delivered to the user, used to remind the user of their upcoming class. This email can be modified by scrolling to the Reminder Email Template
Managing your Classes
After you’ve created at least one Live Class, it will appear in your Class list when Managing your Live Classes. Each Class can be edited, copied, and deleted. You can also view a class's Roster and its Scheduled Dates.
When viewing a class’s roster, you’re able to enroll specific users, create a printable roster, or manage its attendance.
A class’s attendance roster brings up a list of all the Users and all the dates the Class is scheduled for. Anyone with access to Live Classes can then check off user's attendance for the class for specific dates and times. You can quickly check an entire row or column by toggling its checkbox.
